January 2022 YSS Board Meeting Notes

Youth Services Section Board Meeting/Board Retreat

January 28, 2022

10:00am-1:00pm


Present: Claire Parrish, Marge Loch-Wouters, Linda Jerome,, Jenny Wegener, Alison Loewen, Ashley Borman, Taylor Wilcox, Murray Johnson

Approve December Minutes.  Taylor motioned, Ashley 2nd

Welcome 

  • Introductions.  Members discuss new interests in pandemic.

  • Thank you to returning members

  • Welcome new member/returning members.  Thank you to all who stepped up. Claire has shared job descriptions to be looked at at a later point. 


Old Business:

WEMTA/WLA/DPI Connecting WI Libraries Networking Group - Claire/Marge 

  • Updates from January 26 meeting of School - Public Librarians group.  The goals of the group are to foster collaboration between WLA and WEMTA (school librarians).  Support networking between the two groups.  DPI, Monica Treptow, assists as a facilitator and advisor.  YSS Leadership should be at the meeting.  The group reports their activities to the Boards of both organizations.  Spring “Tidbit” in March WLA newsletter re: SLP visits to the schools.  Contribute good ideas for SLP school visits with schools, get those to Katie Kiekafer.  To read more of the history of the group and their initiatives, please stop here. All YSS and WLA members are welcome to come and participate in our bimonthly hour-long meetings.


Blog Update - Marge

 The Blog is our megaphone, we need to be sure to use it. Claire states that our Minutes need to be approved before we put it out on the Blog.  She is thinking about doing a write up, from the Chair, that can be posted on the Blog and shared with WLA leadership immediately after the meetings.  Marge adds that part of our (YSS) success is because we do so much for our members, we ask for their needs and input.  Always good to let our membership know what’s going on.  


Marketing Committee : Was Katherine and Melissa.  Need to discuss what that committee does and who is on it.    This committee can assist the Chair with getting info out, email blasts to membership.  Claire suggests the committee could be improved with the addition of the Chair Elect so there is more continuity.  Also the CE is involved in the conference so that make sense. 

Blog posts, media posts for any YSS event.  Ashley volunteers to join the committee!  

Marketing Committee is Melissa, Alison, and Ashley.  They should reach out to Katherine to see what she was using, templates etc.  


Children’s Book Award Committee - Ashley/Murray

  • Meeting Dates: March 24, April 21, May 19 from 10-2pm 

The committee is currently in the “book-reading” phase.  When they meet they will discuss the titles and talk about winners and runners up.  The committee is going well.  Marge suggests that a committee member writes a blog post about “what it was like to be on the committee” to encourage new people to volunteer for the committee.  This should be before the call goes out for new members.  

Julia Lee is the Chair of this committee. 


Conference Committees - 

  • WAPL: Taylor, Ashley.  WAPL is May 11 to 13.  Claire is having a baby, end of May.  She may not be able to be too involved in that conference.  A social is a good way to reach out to prospective members.  No booth.  This committee needs to reach out to the WAPL conference committee to let them know what YSS wants to do.   • WLA: Melissa & Murray.  Should reach out to the program committee to see what they’ve got to see if there is a piece that is lacking.  Should be balanced - all service populations should have something.  Linda is Program Chair for WLA Conference  for this year.  We can advertise programs, help out, etc.  We can also encourage our membership to do programs.  YSS representation on  conference committees would be the ideal, but offering help is also something we will do.  

New Business:

Regional Meet-ups Update - Claire 

  • Need new coordinator.  Meet-ups have been around for a while.  A way for librarians to network without having to go to conferences.  Tour libraries, professional development.  Have done them virtually during the pandemic.  We could do these virtually and in-person.  With Covid numbers as they are we should do the first part of the year virtual.  Coordinator reaches out to two libraries that might be close geographically.  Talk to the librarians at the libraries, sharing video of the space, talking about their staff, community, programming, etc. Put together the details of the meeting, get GoToMeeting stuff from Hannah.  Promote.  These get shared to the YSS YouTube page.  Provide discussion points that can be shared.  This position is filled by a Director-at-Large.  Florence is totally happy to help the new person, hers were all virtual.  Claire did them in person and can also help.  Murray volunteers.  Thank you!  This is a great way for librarians to network and see other libraries.  A great way to get some fabulous new ideas.  Other sections should do this, Claire will discuss at the next Leadership meet up.  A good way to build membership.

  • Murray will try to get one going for March/ April.  He will reach out to Florence. 


WLA Update - Linda/Claire 

  • WLA Code of Conduct, Conflict of Interest, Confidentiality - Sign and return the completed policy forms to wla@wisconsinlibraries.org for filing.  All people in leadership positions should fill these out and return to WLA.  This includes everyone on the Board.  These will be annual documents that need to be filled soon.  Do this.  

  • Leadership Roster is figured out, Claire will submit to WLA. Discussion about Membership committee that is no longer needed.  

  • 2022 Initiatives :  WLA’s Initiatives are:  Member recruitment and retention.  Generate Non-Dues Revenue.  Enhanced Program Offerings.  Advocacy for Wisconsin Libraries and Library Workers.  Expanded Communications.  Strategic Planning and Visioning.  

At the Leadership meeting there was discussion about more virtual meetings, places to continue discussions after conferences.  Want to increase the amount of Continuing Education offerings that we can offer as a WLA event.  Non-members would be charged. Shows our members the value of their membership.   Claire states we can do some webinars.  We can discuss at next meeting.  Linda suggests censorship, challenges, etc.  Panel of a few librarians and someone from the CCBC.  Children’s materials are often targeted by challenges.  This is a good thing for management, not just Children’s people.  Claire wants to expand our reach, impact.  Laura does a bi-monthly newsletter and would love to get some content from YSS.  

  • 2022 WLA Conference – Rising to the Challenge.  Barry McKnight is Conference Chair.  Lake Geneva.  Home of Dungeons and Dragons

  • Jenny will confer with Linda about YSS Luncheon speakers.  

  • Claire suggests a session about doing interviewing, how to do a good interview (both sides of the table).  Librarian “speed dating”  – making connections.  Include this in the social?  Topic tables suggested by Taylor.  Murray relates that there weren’t any sessions about “how we got through the pandemic.”  Marge agrees this is a good topic, reflecting on how librarianship has changed.  Murray:  will people come back to in-person programming.  The popularity of “grab and go” and how do we reduce this.  Linda did a table full of junk - make your own craft bag.   We can do an email and blog post about Grab and Go crafts.  



DPI Updates - Monica

  • Connecting WI Libraries met this week (Agenda and notes) - Next meeting is Wednesday, March 16 - All are welcome to attend

  • Beanstack - 57 districts have launched, and 64 are in progress

  • Support for school libraries facing book challenges has been a priority

 


2022 YSS Goals:

  • Job descriptions updated.  Jenny will work on this.  Figure out what is current and not in Google Drive.

  • Re-start YSS Powerhouse series.  Linda will reach out to Kristina Gomez on WLA Board re: intellectual freedom.  

  • Board should look over the stuff in the Dropbox (“How to log on to WLA Dropbox: WLA DROPBOX – a living document AND archive. The place to find board (and often unit) minutes), orientation material and all things WLA. You can keep it current by adding meeting minutes for your unit and/or an annual summation of unit activities for the year. 



Meeting Dates for this spring: February 15, March 15, April 19, May tentative for the 17th (post WAPL, 1:30 to 3:00 all dates.   Claire will be sure to loop in WLA Leadership with dates and meeting minutes.
