YSS January 2023 Board Meeting Minutes

 


Youth Services Section Board Meeting

January 19th, 2023 

9:30-11:30


Present: Caitlin Schaffer, Alison Loewen, Linda Jerome, Claire Parrish, Ashley Borman, Murray Johnson, Valerie Spooner, Cathy Pescinski, Jenna Gilles, Jeni Schomber (DPI), Laura Sauser (DPI)

Welcome

  • Introductions and Ice Breaker


New Business

  • Laura Sauser- Performers Showcase & Leadership Development Institute

    • Bridges Library System has hosted both in-person and virtually in the past

      • November or December of 2023

      • Looking for names of performers of interest

      • Performers will pay to participate. They get 10 minutes to do their bit over Zoom, with some time to answer questions. It will be recorded and available for a limited amount of time. A virtual guide with all of the performer information will be sent out to attendees. 

    • Leadership Development Institute

      • Feedback: Looking for flexibility, virtual options

      • Going to cover the four tiers of leadership, with some partnerships from the UW System. 

      • Will kickoff at the WAPL conference as a pre-conference 

      • Wrap-up will be at the WLA conference

      • Two virtual sessions per month over the summer with Slack channel 

      • Really encouraging staff from all departments in libraries, not necessarily someone who is already a leader/manager.

Old Business

  • SEL Webinar Rescheduled to March 2

    • Jenna G. and Jamie Anderson will be co-presenting: Sharing information about SEL and healing library kits that circulate at their respective libraries 

    • Free for WLA members and will hopefully be recorded 

  • YSS social TODAY!

    • Theme/STEM Weeks one week a month at the Everett Roehl Marshfield Public Library: Have been doing them for a little over a year

    • Primarily passive programming in children’s play area

    • Library foundation funds most of the theme weeks, but they also reuse weeks from time to time. 

    • Biggest hits have been Polar Express week and Harry Potter week. 

  • WLA Update

    • Wrapping up 2022 financials with final details of how much money the WLA conference made. 

    • Talking about 2023 conference - Middleton in Fall of 2023

    • Finalizing members of the Intellectual Freedom Taskforce and getting them ready to go, 

    • Library Legislative Day in February Day - Record number of attendees! Over 200 registered. 

  • Children’s Book Committee

    • Meeting dates are set for March, April and May to start reviewing the books from 2022 by authors with a Wisconsin connection. Winner and honoree will be selected by the end of May.

2023 Housekeeping 


  • WLA  Resources for Leaders

    • 2023 Leader training recording and slides are available. 

    • Code of Conduct, Confidentiality, Conflict of Interest Forms - If you filled these out in the past, you do NOT need to resubmit. If not, fill them out and send them directly to Laura Sauser: sauser@wisconsinlibraries.org

    • Dropbox - Lots of great documents and resources about committee responsibilities, history, brand guidelines, etc. 

    • Misc - Fill out the 2023 YSS Board roster in the 2023 YSS folder in Google Drive. If you do NOT have access to the YSS Google Drive folder, let Alison know. 


  • Committee Roles

    • Conference Committees / Socials

      • WAPL 2022- Taylor Wilcox and Ashley B. coordinated a board game night 

      • WLA 2022 - Caitlin S. coordinated a Dungeons & Dragons game night 

      • Typically handled by the directors-at-large. Helpful if you know you will be at the conference, but not a necessity. 

      • WAPL 2023 - Cathy P. and Claire P.  

      • WLA 2023 - Caitlin S. and Ashely B. will coordinate game night/D&D social 

    • Marketing

      • Mostly involves using the WLA Canva to create graphics to send out in email blasts, etc. 

      • 2023 committee - Ashley B. and Jenna G. 

    • In-person/virtual/hybrid Meet-ups

      • 2023 committee - Murray J. and Caitlin S. 

        • Possibly send out an email seeing if YSS members would be interested in hosting 

    • Children’s Book Award - All set for 2023! 

      • 2023 committee - 

    • Performer Showcase committee - first year! 

      • 2023 - Linda J., Alison L., and Cathy P. 

        • How do we create continuity? What will this look like? If this is successful, does this fall under our umbrella of responsibilities?

        • Eye on creating a message board or some way for YSS members to share feedback about performers, look for partnering libraries to help share the cost, etc. 

        • Annual responsibility for the Chair and Chair Elect to create continuity.


  • YSS Google Drive 

    • Leah Langby encourages us to work though having ownership of the Drive transferred to a more permanent location. 

      • Move everything to Dropbox instead of Google Drive? 

        • Subcommittee to clean up the Drive and transfer to Dropbox - Claire P. and Ashley B. 

        • Secretary responsibility moving forward to keep everything organized and all documents uploaded. 


  • Set monthly meeting schedule (was third Tuesday 1:30-3)

    • Moving to the second Wednesday of every month from 1:30 - 3 pm. Alison will create and share a calendar invite.


2023 Planning Brainstorming

  • Look at WLA booth idea submissions

  • Regional Meet-ups (in-person, virtual & hybrid) 

    • Wisconsin School for the Deaf - Mystery Night

    • Watertown PL (massive renovation of Carnegie library and sharing space with a community partner)

  • socials at WLA and WAPL

    • Coordinating tour of CCBC – perhaps as social, but most likely as a field trip during the day; organizing carpool??

  • WLA Presents Webinar Series

    • Teen Webinars - One in spring and one in fall on the topics of teen volunteers, programming, and bringing teens into the library

    • Book clubs and subscription boxes - Sandy 

  • performer showcase

  • Other ideas?

    • Look into offering more teen services offerings 

      • Week-long webinar series? Pre-conference session? Teen Tuesdays?

      • Plug the teen group that meets monthly on the blog and to the membership.
